Data Deletion Request
Use this process to request deletion of a MeetAdvance account or personal information associated with an account. MeetAdvance does not provide public self-registration; accounts are created for users authorized by participating organizations.
How to submit a request
- Send an email from the address associated with your MeetAdvance account to [email protected].
- Use the subject MeetAdvance Data Deletion Request.
- Include your name, account email, organization or team, and whether you are requesting account deletion, deletion of specific personal information, or both.
- Do not include your password, payment-card information, government identification, or unnecessary athlete information in the initial email.
Identity and authority verification
We will acknowledge the request and may ask for reasonable information to verify identity, account ownership, organizational authority, or guardianship. If an organization controls the requested meet or athlete record, we may refer the request to that organization or require its authorization. We will not delete another person’s or organization’s records based on an unverified request.
What account deletion includes
When approved, account deletion generally includes disabling access, deleting the Firebase Authentication account, and deleting or de-identifying account-profile and membership information that Sandiver controls and is not required for another lawful purpose. The requester will no longer be able to sign in after the account is deleted.
Organization-controlled and retained records
Athlete, official result, qualifier, advancement, invoice, manual-payment status, protest, and award-audit records may be controlled by a governing body, meet operator, club, team, or recreation department. These records may need to be retained or de-identified rather than deleted when necessary for:
- official meet history, eligibility, advancement, protest, or award administration;
- accounting, payment reconciliation, tax, audit, or contractual obligations;
- security, fraud prevention, dispute resolution, or enforcement of legal rights; or
- compliance with applicable law or a valid legal request.
We will explain any material information that cannot be deleted and the applicable reason, unless legally prohibited from doing so.
Timing and confirmation
We normally acknowledge requests within two business days and aim to complete verified requests within 30 days. If additional time is reasonably necessary, we will provide an update and an expected completion date. We will send confirmation when the request is completed or explain why it cannot be completed.
Backups
Information removed from active systems may remain temporarily in encrypted backups until those backups expire through established cycles. Backup data is isolated from ordinary use and will not be restored except for disaster recovery, security, or legal needs.
